Changes to the placement agreement are acceptable during mobility. Corrections to the initially approved placement programme can be requested within 2 (two) to 5 (five) weeks from the start of the mobility, and must be finally confirmed up to a maximum of 8 (eight) weeks after the start of the mobility. Changes are agreed with the departmental Erasmus+ coordinator and approved by the institutional Erasmus+ coordinator, the host institution and the student.
Extension of mobility: VFU, the student and the host organizations can mutually agree on an extension of the current mobility period if the following conditions are met:
- the request to extend the mobility period must be made at least one month before the end of the originally planned mobility period.
- when extending the duration of the student mobility for placement, the host institution must send a written confirmation with the new mobility deadline.
- if the request is accepted by all parties, an annex to the individual contract for student mobility must be prepared and all conditions for the extension of the term must be agreed upon.
- if the student receives grants under the Erasmus+ programme, VFU can either change the amount of the grants to take into account the longer duration, or reach an agreement with the student that the additional days are considered a period during which “no grants are received from the EU’.
- the actual start and end date of the mobility period are entered in the student’s placement certificate issued by the host institution, according to the following definitions:
- the actual duration is the period to be specified by VFU in its final report and is the maximum number of months to be covered by the EU grant. Where the continuation of student mobility is considered as ‘no EU grant receiving’ days, these days are deducted from the total duration of the mobility period when calculating the final grant amount.
- the additional period must immediately follow the current mobility period. Breaks are not permitted (holidays and periods during which enterprises/ firms/organizations are closed do not count as a “break”), except where such breaks are duly justified and approved by the national agency.
- The extension of the mobility can only be done within the academic year in which the student carries out student mobility for placement.
Interruption and termination of mobility are subject to contractual regulation. Students who receive EU grants under the Erasmus+ programme will fully or partially repay these EU funds if they do not fulfill the terms of the grant agreement (unless they have been prevented from completing their planned activities abroad due to case of absolute necessity). If they do not prepare and submit a final report online, they may be asked to repay part or all of the EU grant they have received. Students who are asked for a partial or full refund of the received funds should refund them by September 30 of the academic year in which the mobility took place.
After the end of the mobility, the student submits to the administrative “Erasmus”-coordinator the required under the Contract for student mobility for placement under the “Erasmus+” programme with VFU reporting documents, which are the basis for starting an academic recognition procedure.
VFU will request a partial or full refund of the financial support received from a student who does not provide all required reporting documents. A student who is requested a partial or full refund of the received funds should refund them by September 30 of the academic year in which the mobility took place.
The student must complete and submit an online report (online EU survey) no later than 30 days after the end of the mobility period.

In the event that the outgoing “Erasmus+”-student suspends the period of study at the host institution due to case of absolute necessity, health or other valid reasons or has completed a period of stay shorter than the minimum established by the Human Resource Development Centre (HRDC), VFU is obliged to immediately notify in writing HRDC and to demand from the student an immediate refund of the amount corresponding to the unrealized stay in the host country.
Within 30 days after the end of the mobility, the student prepares and submits to the administrative Erasmus+-coordinator a descriptive report and photos, which can be published on the website of the Programme and used in advertising brochures of the university.
